Why Firearms & Weapons Auctions Need Specialized Software

Firearms auctions require detailed legal compliance, authentication, and historical documentation that generic auction software cannot adequately provide for licensed dealers.

Serial Number Tracking
Comprehensive serial number documentation with manufacturer databases, model identification, and production records. Essential for legal compliance, authentication, and proper firearms identification.
Legal Compliance Documentation
FFL records on every bidder and dealer, expiry tracking, per-state checkout checks recorded on the invoice, and a transfer record on every firearm lot. The paperwork licensed dealers need, kept where the invoice is.
Historical Classification
Detailed historical classification covering all major periods, conflicts, and technological developments with proper documentation for antique and collectible firearms valuation.
Condition Assessment
Specialized condition assessment for firearms including mechanical function, cosmetic condition, working order, and restoration documentation with standardized firearms terminology.

FFL Management on the Client Record

Most firearms auction houses keep licenses in a folder and check them by hand at shipping time. Circuit puts each bidder's and dealer's Federal Firearms License on their CRM record, tracks it to expiry and holds a firearm lot from shipping and settlement until a valid license is on the invoice. Read the FFL management page for the full workflow, or our guide to managing bidder FFLs at auction.

License Stored Once, Reused Every Sale
Licensee name, FFL number, license type, premises address, expiration date and a copy of the signed license, on the bidder or dealer record. Verified by staff, with the date and name recorded.
Lots Flagged at Cataloging
Each lot is marked modern, antique or Curio and Relic eligible by the cataloguer. The flag follows the lot through bidding, invoicing and shipping and decides which rule applies at checkout.
Receiving Dealer at Checkout
Buyers without a license designate a receiving FFL dealer. The dealer's license attaches to the invoice and shipping uses the dealer's licensed premises. Dealers become client records for next time.
Shipping and Settlement Hold
Flagged lots cannot be released for shipping or consignor settlement until the FFL status reads valid. The transfer record, serial, buyer, license, ship date and tracking, stays on the lot.
